So you have started an online shop and need to manage your day-to-day activities.
Add a new product
eCommerce -> Products
Create New Product
or
Select the 3 dots at the right of another product and select Duplicate
Give the product a Unique Name, Description, any additional details, Price, Stock Level (if set up for stock control), other details.
In the Categories Tab select a category and then a sub-category (ignore the Error) if you have not yet saved the product.
In the media tab select the main and thumb images from your media folder.
Turn off the Live option if you do not want the product to be available yet.
Save the product
Order processing
New orders will be shown in notifications at the top right.
eCommerce -> Orders
New orders will be listed here along with a quick selector to show In Cart, Closed, Shipped, and other status orders which are all grouped.
You can quickly change the status of an order using the drop-down at the right of each order, changing this instantly updates the status of that order.
Get a printable document for Checklist, Internal Order Processing, Customer Order for packing by clicking the three dots menu on the right of an order.
Viewing and Editing an order
Click the order number on the left.
The status at the top left shows the next logical status update, this allows you to quickly update with just one click. Otherwise select the new status from the drop-down list.
Confirming Payment
A status of Paid-Confirmed indicates that the payment gateway has confirmed the payment was made and is valid.
A status of Paid-Unchecked or Paid-Unconfirmed shows that the gateway did not confirm the payment but a purchase has been made, Click the little Certificate button to check if the gateway confirmed, otherwise a manual check is recommended to ensure the payment was actually completed and that the correct funds were paid.
Processing the order
The checklist button (opens in a new window) can be printed and used to manually source each product from a warehouse or storage.
Click Customer Order for a printable document (opens in a new window) to include with your customer's order.
Internal Order (opens in a new window) is the same as the customer order and includes any internal notes, not for customers viewing.
Emails
Three dots drop-down button at top right, next to the SAVE button allows you to Send or Preview emails for Confirmation of Order, and Delivery emails.
If you have tracking codes then you can add details on the Shipping Address section.
Type or paste the Tracking code given to you from your delivery/courier company.
If available type a Tracking name ie. Royal Mail Tracked and add the tracking link (website URL of the delivery/courier service without the actual tracking code). The link usually ends with the tracking code either with a /{tracking code} or ={tracking code}
Once saved you can preview the email that would be sent to your customer, or send yourself a test email to check if it works, before sending a copy to your customer.
Customer Invoice
Click the create invoice and then you can send your customer an invoice for the purchases they have made.
Updating your customers with what is happening
If you have an order status page then customers can check their order status as often as they wish.
When changing the status of an order it is a good idea to keep the customer informed, send delivery confirmation emails, or other messages.
Completing an order
Status updates tend to go through this sequence;
Paid-Unconfirmed or Paid-Unchecked - Check that the payment has actually been made as the gateway did not send confirmation.
Paid-Confirmed
Approved
Preparing
Ready to Ship
Shipped
Closed
Other statuses are available such as Rejected, Cancelled, Refunded, Fraud, Chargeback, In Dispute, etc. If you need a status added please let us know.
Sending abandoned cart emails
Select the Abandoned Basket option to show only those baskets that have had someone register their email information.
Select each basket that you wish to send an abandoned basket email to or click the Select all option at the bottom of the list.
From the drop-down menu choose Send Abandoned or Send reminder email.
Click GO to send selected baskets an email.
Clearing old abandoned carts
Select all the baskets that you wish to remove.
Or click the select all option at the bottom of the list.
From the drop-down options select DELETE
Click GO to remove all those baskets, there is no confirmation when doing this so make sure you select the correct baskets.
